1. About these Terms
These Terms of Service govern access to and use of My12, including the leader app, admin portal, super admin functions, integrations, reports, notifications, and related services.
By creating an organisation, using My12, or inviting users into an organisation, you agree to these Terms on behalf of yourself and, where applicable, the church or organisation you represent.
2. Customer authority
- You must be authorised to create or manage the church organisation in My12.
- You are responsible for deciding who has admin, campus dashboard, organisation-wide, or leader access.
- You must keep login details secure and tell us promptly if you suspect unauthorised access.
3. The My12 service
My12 helps churches manage care rhythms across people, groups, campuses, leaders, attendance, prayers, feedback, pastoral notes, care alerts, and related reporting.
We may improve, update, or change features over time, provided the core purpose of the service remains substantially available to active customers.
4. Customer data and responsibilities
- The customer controls the personal data it enters, imports, syncs, or asks leaders to record in My12.
- The customer must have a lawful basis to add, sync, view, share, and retain personal data in My12.
- The customer should collect the minimum information needed for church care and should avoid unnecessary sensitive detail.
- The customer is responsible for responding to its members, attenders, leaders, and other data subjects when they exercise privacy rights.
5. Sensitive pastoral data and safeguarding
My12 can contain pastoral, prayer, health, family, attendance, safeguarding, or religious information. Some of this may be special category data under UK GDPR or similar laws.
My12 is a ministry administration tool. It is not an emergency service, medical service, counselling service, legal adviser, or safeguarding authority. Churches remain responsible for their own safeguarding policies, pastoral judgment, escalation procedures, and legal duties.
6. AI-assisted features
Some My12 features may use AI to classify care alerts, summarise feedback, identify signals, or assist reports. AI output is supportive only and should be reviewed by appropriate church leaders.
Customers should not enter more sensitive detail than is necessary for the care purpose. AI output must not replace safeguarding, pastoral, medical, legal, or professional advice.
7. Integrations
If you connect Planning Center or another third-party service, you authorise My12 to access and sync the selected data for your organisation. You are responsible for ensuring you have permission to connect that service and import the data.
Disconnecting an integration stops future sync activity but may not automatically remove data already imported into My12 unless you delete it or request deletion.
8. Subscription, trial, and payment
- Plans, trial length, limits, and prices are shown during signup or in the billing area.
- If card details are collected for a trial, payment starts after the trial unless the customer cancels before the trial ends.
- Stripe processes card details and payment information. My12 does not store full card numbers.
- We may suspend or restrict access if payment fails, a subscription ends, or the service is misused.
9. Security and acceptable use
- You must not attempt to bypass security, access another organisation, overload the service, copy the platform, reverse engineer protected code, or use My12 unlawfully.
- We use technical and organisational measures designed to protect customer data, but no online service can be guaranteed as completely secure.
- Security concerns should be sent to security@my12.app.
10. Termination and deletion
Customers can cancel their subscription or request deletion of their organisation data. Some records may be retained where required for billing, legal, security, dispute, backup, or audit purposes.
When an organisation is deleted, My12 aims to permanently delete or anonymise operational organisation data after the applicable recovery or backup period.
11. Liability
To the fullest extent permitted by law, My12 is not liable for indirect loss, loss of profits, loss of goodwill, pastoral decisions made by the customer, or harm caused by customer misuse of the service.
Nothing in these Terms limits liability where the law does not allow it to be limited.
12. Governing law
These Terms are governed by the laws of England and Wales unless a separate written agreement says otherwise.
