Version and existing agreements
Version 2026-10-28 applies to new organisational orders accepted on or after 28 October 2026. Existing customers remain subject to the version they accepted until a properly notified update takes effect. The previous published terms are available at https://my12.app/terms-2026-07-02. A new refund restriction or choice of law does not retrospectively replace an existing agreement.
1. Who provides My12
My12 is provided by QUANTUMLIFT LTD, a company registered in Scotland with company number SC861074, whose registered office is 3/1 226 Moncur Street, Glasgow, Scotland, G40 2SQ, United Kingdom ("we", "us", "our").
Our website is https://my12.app. For service, billing and cancellation questions, contact hello@my12.app. For security and privacy questions, contact security@my12.app.
2. Who these terms apply to
My12 is supplied to churches and other organisations for their organisational activities. It is not offered as an individual, family or personal consumer subscription. The organisation identified in the order or subscription account is the customer ("you").
The person placing an order or accepting these terms must have authority to act for that organisation. An invited leader does not become personally responsible for the organisation's subscription merely by using the Leaders App. Invited users must follow the account, security and acceptable-use requirements that apply to their use.
Describing a purchase as organisational does not remove any statutory protection that applies to the customer or transaction. Section 10 takes priority over any inconsistent restriction in these terms.
3. Our agreement
The agreement consists of the order or subscription details accepted by the customer, these terms and, where we process personal data on the customer's behalf, our Data Processing Agreement at https://my12.app/data-processing-agreement. A separately signed agreement takes priority where it expressly varies these terms. An order takes priority for its agreed price, billing period, limits and service scope; the Data Processing Agreement takes priority for its subject matter.
We will make the applicable terms available before the customer places an order and provide or make available an order confirmation that the customer can keep. The Privacy Policy at https://my12.app/privacy explains our personal-data handling; agreement to these terms is not blanket consent to every optional processing activity.
4. The service and Leaders App
My12 helps organisations coordinate people, groups, campuses, attendance, prayers, care tasks, pastoral notes, events, feedback and related administration. Features depend on the customer's plan, configuration, permissions and the platform used.
The My12 Leaders App is a companion to the organisation's My12 system. Organisations register and manage subscriptions through the web administration service. Invited users access the functions made available to their accounts. The app does not sell My12 subscriptions or subscription upgrades inside the app.
Signing in through an identity provider, where supported, does not by itself grant membership of an organisation or administrator rights. The organisation controls invitations and access, and we may require identity or invitation verification.
We will provide the service with reasonable care and skill. We may perform maintenance, address security issues and improve features. We will give reasonable advance notice of a material reduction to a paid service where practicable. If a change materially removes the agreed core service during a prepaid period and we cannot provide a reasonable alternative, you may end the affected service and receive repayment for the unused affected period. This does not limit statutory remedies.
5. Accounts and organisational control
You are responsible for appointing authorised administrators, keeping organisation and billing details accurate, assigning appropriate roles and promptly removing access when a user no longer needs it. Users must keep their credentials secure and must not share an account where this would defeat individual permissions or auditability.
Tell us promptly if you suspect an account has been compromised. We may require reasonable verification before changing ownership, restoring access or fulfilling a request that affects organisational data. Removing a leader, cancelling a subscription, deleting an individual account and deleting an organisation are different actions.
6. Plans, trials and billing
The price, currency, billing period, included capacity, additional charges and any trial conditions are shown before purchase or agreed in writing. Taxes will be stated at checkout or on the applicable invoice. Do not assume a trial or discount applies unless it appears in the accepted order.
Where a subscription renews automatically, the renewal arrangement will be disclosed before purchase. Unless cancelled or otherwise agreed, it renews for the billing period shown in the subscription. If a trial converts to a paid subscription, the checkout must explain when charging begins and how to cancel before that time. A trial does not replace a statutory cancellation right.
Stripe or another identified payment provider processes payment details under its applicable terms. We do not require leaders to purchase a subscription through the mobile app.
We may restrict access for overdue payment after reasonable notice and an opportunity to resolve the issue, except where immediate action is reasonably needed to prevent fraud or abuse. We will not introduce a price increase for an already prepaid period. A proposed renewal price change will be notified before it applies, with an opportunity to cancel before renewal and any additional notice required by law.
7. Cancelling renewal
An authorised customer administrator can cancel renewal through the web billing area or contact hello@my12.app with the organisation and subscription details. We may verify that the requester is authorised. Keep the cancellation confirmation.
Unless your order or applicable law provides otherwise, cancellation stops future renewal and access continues until the end of the paid period. Removing the app or signing out does not cancel the organisation's subscription. Cancellation does not automatically delete the organisation's records.
8. Refund policy
We do not offer a voluntary change-of-mind refund or money-back guarantee for organisational subscriptions. Except where required by law, expressly promised in the accepted order or provided under these terms, payments for a current billing period are not refundable merely because the organisation stops using the service, uses fewer seats or cancels renewal partway through that period.
This policy does not permit us to retain an incorrect, duplicate or unauthorised charge. It does not exclude repayment, a price reduction, cancellation, repair, repeat performance, damages or any other remedy that the customer is legally entitled to because of a failure to provide the agreed service or another breach.
For an individual refund request, contact hello@my12.app with the organisation name, invoice or transaction reference, amount and reason. Do not send full card details. Where a refund is legally required, we will process it within the applicable statutory deadline, without an unlawful deduction, and using the required payment method. We will not substitute service credit for a monetary refund where the law requires repayment.
9. Donations and separate transactions
Where an organisation enables a giving or payment function, payments intended for that organisation are separate from its My12 subscription. The recipient organisation and the identified payment provider are responsible for the applicable donation terms, payment information and refund process, subject to their legal duties. Any My12 platform fee must be disclosed where it applies.
These subscription terms do not decide whether a donation qualifies for tax relief and do not waive a donor's rights. A payment feature described as unavailable or in testing must not be relied on for collecting real funds.
10. Rights that cannot be excluded
Nothing in these terms excludes or restricts a right, guarantee or remedy that applicable law does not allow us to exclude or restrict. If a mandatory local rule conflicts with these terms, that rule applies to the extent of the conflict.
This includes any applicable right to withdraw from or cancel a distance contract, receive a refund, obtain a remedy for a faulty or non-conforming service, challenge an unfair term or use a competent regulator or court. It also includes protections that may apply to organisational customers in countries where the legal definition of a protected consumer includes some businesses or legal entities.
We do not impose a universal 14-day refund entitlement on every organisational purchase, and we do not treat the customer's country alone as proof that it has no cancellation right. Applicable rights depend on the purchaser, transaction, sales method and law. Where a statutory withdrawal right applies, exercising that right does not depend on accepting a discretionary refund offer. Merely accepting these terms does not waive a statutory withdrawal right.
11. Customer data and privacy
You retain your rights in the data and content that you or your authorised users provide. You give us the limited rights necessary to host, process, transmit, secure and display that data to provide the agreed service and authorised integrations. These terms do not give us ownership of your pastoral records or a general right to sell them.
For customer-controlled church records, the organisation will ordinarily be the controller and we will be its processor, as explained in the Data Processing Agreement. We may act as a controller for our own account administration, billing, security and support activities, as explained in the Privacy Policy. Each party remains responsible for its own legal obligations.
You must have an appropriate lawful basis and, where needed, a special-category condition or consent for the data you enter, import, access or share. Give people appropriate information about your use of My12, restrict access and avoid recording more sensitive detail than necessary. The authorised use of an integration does not remove these duties.
Our sub-processors and their roles are described at https://my12.app/subprocessors. A right or obligation that requires separate notice or permission cannot be satisfied merely by accepting these terms.
12. Sensitive information, safeguarding and human decisions
Church records may reveal religious beliefs, health, family circumstances, safeguarding concerns or information about children and vulnerable people. Use particular care when deciding what to record and who may see it.
My12 is an administration and coordination tool. It is not an emergency response service, medical service, legal service or safeguarding authority. Contact the relevant emergency or safeguarding service directly where necessary; do not assume that recording an alert or sending a notification will cause a person to see or act on it immediately.
Organisations remain responsible for their pastoral and safeguarding decisions. This does not excuse us from our own contractual or legal responsibilities.
13. AI-assisted functions
Where offered and enabled, AI may help prepare drafts, organise a spoken or written update, suggest prayer material, classify information or answer a question using authorised organisational material. AI can be inaccurate or incomplete. An appropriate person must review its output before relying on it, sharing it or saving consequential changes.
Use of a third-party AI service may involve sending text, audio or relevant context to the disclosed provider. Any information and permission required by applicable law or platform rules must be provided or obtained before that transfer. An organisation's subscription or agreement to these terms is not a substitute for required individual permission. Provider data handling is described in the Privacy Policy and sub-processor information; these terms do not promise that a provider has no retention unless that has been specifically confirmed.
Do not use AI output as the sole basis for a safeguarding, medical, legal or other high-impact decision about a person.
14. Offline use and devices
Supported versions of the Leaders App may keep a downloaded copy of authorised records and a queue of changes on the device so that some work can continue without internet. Device data is separate from the shared server record. A change saved locally is not shared with other users until the server accepts it.
Server permissions are checked when the device reconnects. The app cannot learn about a remote access change while it has no connection. Offline data may become out of date and concurrent changes may need reconciliation.
Keep the device and its passcode secure and install security updates. Pending changes must be synchronised before relying on them as part of the organisation's shared record. Signing out, clearing app data, uninstalling the app, losing the device or restoring a device can affect locally stored information. A private queue excluded from device backups cannot be recovered from that backup after the device is lost.
The app's current privacy information describes local retention and cleanup. Do not uninstall or erase app data to troubleshoot a failed save without first checking for pending work. These precautions do not transfer responsibility for a failure caused by our breach to the customer.
15. Integrations and communications
Connect a third-party service only if you have authority to connect it and to share the selected data. A provider may require its own account, permissions, charges or terms. We are responsible for the parts of an integration that we provide; a provider's separate service remains subject to that provider's obligations.
Disconnecting an integration stops the authorised connection but may not remove data previously imported into My12. Deletion is handled separately under the customer's controls, the Data Processing Agreement and applicable law.
We may send necessary account, billing, security, invitation and service communications. Optional marketing is handled separately under applicable consent and unsubscribe rules.
16. Acceptable use and intellectual property
Do not use My12 unlawfully, access another organisation without permission, upload malicious code, evade security or payment limits, interfere with the service, infringe another person's rights or share information without authority. Do not use it to harass or discriminate against people.
We and our licensors retain rights in the software, designs, documentation and branding. During the subscription, you may use the service and permitted app copies for the organisation's authorised purposes. Restrictions on copying or reverse engineering do not prevent an activity that applicable law expressly permits despite a contractual restriction.
Tell us about unlawful content or suspected security abuse using the contact details in section 1. We may investigate and take proportionate action, including restricting access where reasonably needed to protect people or the service.
17. Suspension, termination, export and deletion
We may suspend or terminate affected access for a material breach, unlawful use, an unresolved security risk or overdue payment. Where appropriate and practicable, we will explain the issue and give a reasonable opportunity to remedy it. Immediate action may be necessary for an urgent risk, but restrictions will be proportionate.
The customer may end the agreement for a material breach by us if we do not remedy it within a reasonable period after receiving details. Any refund, price reduction or other remedy required by the agreement or applicable law remains available.
Before ending the service, an authorised administrator should use available export functions or contact us about a reasonable export request. Deleting an individual account does not authorise that person to erase records controlled by their organisation. We will assess requests according to account ownership, the Data Processing Agreement and applicable data-protection rights.
We will delete or return personal data in accordance with those requirements and the applicable retention arrangements. We may retain records where the law requires or permits it for a specific purpose, such as tax or a genuine dispute. We will explain relevant retention in our privacy information rather than treating subscription cancellation as immediate deletion of every record.
18. Responsibility and liability
We are responsible for losses caused by a breach of our obligations to the extent required by the agreement and applicable law. Each party must take reasonable steps to avoid or reduce losses it can reasonably prevent.
Neither party is responsible for an indirect or consequential loss that was not reasonably foreseeable when the agreement was made. A loss is not excluded merely because it involves data, confidentiality, security or the involvement of a third-party provider; responsibility depends on the actual obligations and applicable law.
No provision excludes or limits liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or another liability that cannot lawfully be excluded or limited. A mandatory customer remedy, including one under the Australian Consumer Law or another applicable statutory regime, is not removed by this section.
19. Changes to terms
We may update these terms for changes to the service, law or operation of the business. We will give reasonable notice of a material change before it applies and explain its effect. An urgent legal or security change may need to take effect sooner, with notice as soon as reasonably practicable.
A new refund restriction or price change will not retrospectively remove rights relating to an existing transaction. If a proposed change materially disadvantages the customer during a prepaid period, we will provide a reasonable way to end the affected service and obtain any repayment or other remedy that is required. Continuing to use the service does not waive mandatory rights or replace any acceptance that the law requires.
20. Complaints, governing law and courts
Contact hello@my12.app first so that we can investigate a complaint. You do not have to complete an internal process before using a legal right that allows you to act sooner, and you remain free to contact a competent regulator or dispute-resolution body.
Subject to mandatory applicable law and any separately signed agreement, these terms are governed by Scots law. The courts of Scotland have non-exclusive jurisdiction. This choice does not deprive a customer of a mandatory protection or a right to bring a claim in another court where the law gives that right.
If a provision is invalid, the remainder continues to apply so far as it can operate lawfully. No delay in enforcing a right means that the right is permanently waived. The agreement does not give an invited leader authority to commit their organisation to extra charges without the organisation's authorisation.
